MainDispatch processes information needed to provide dispatch management, driver workflows, shipment tracking, vehicle inspections, signatures, and digital Bill of Lading services. We do not sell personal information or use it for third-party behavioral advertising.

Overview
MainDispatch LLC (“MainDispatch,” “we,” “our,” or “us”) provides software for auto transport operations. Our services may be used by transportation brokers, carriers, drivers, employees, contractors, customers, vehicle owners, shippers, receivers, and other authorized participants.
This Privacy Policy applies to information processed through:
- The MainDispatch public website;
- The MainDispatch web dashboard;
- The MainDispatch iOS and Android applications;
- Public or private shipment-tracking pages;
- Digital vehicle-inspection and BOL workflows;
- Support, account-management, and related communications; and
- Other MainDispatch services that link to this policy.
By using MainDispatch, you acknowledge the practices described in this Privacy Policy. Where consent is required by applicable law, we will request it before processing the relevant information.

Information we collect
The information we collect depends on how you interact with MainDispatch and which features your company or organization uses.
Account and organization information
When a broker, company representative, administrator, or other authorized user creates or manages an account, we may collect:
- Name;
- Email address;
- Telephone number;
- Company or organization name;
- Business address;
- USDOT or motor-carrier information;
- Account role and permissions;
- Authentication and account-security information; and
- Account preferences and settings.
Dispatch and shipment information
Authorized users may enter or upload information concerning a shipment, including:
- Order, load, quote, or tracking identifiers;
- Pickup and delivery names, addresses, and contacts;
- Pickup and delivery instructions;
- Shipment status and operational timestamps;
- Pricing or payment-related shipment details;
- Carrier and driver information;
- Dispatch notes and internal records; and
- Communications or records related to transportation services.
Vehicle information
Vehicle records may include:
- Year, make, and model;
- Vehicle identification number (VIN);
- License-plate information;
- Color and vehicle type;
- Running or non-running condition;
- Inspection results and damage observations;
- Pickup and delivery condition; and
- Other shipment-related vehicle information.
Driver and delivery workflow information
Drivers may access assigned shipments using an account, temporary credential, tracking identifier, or another authorized access method. We may process:
- Driver name and contact information;
- Shipment access and workflow status;
- Pickup and delivery confirmations;
- Inspection steps and completion records;
- Notes entered during transportation;
- Location information;
- Photographs and signatures; and
- Device and synchronization status.
Device and technical information
When you access our services, we may automatically receive:
- Device type and operating-system version;
- Browser type and application version;
- Internet Protocol address;
- Language and general regional settings;
- Device identifiers used for security or functionality;
- Network and connection status;
- Application events and feature interactions;
- Error reports, crash data, and diagnostic information;
- Authentication and security logs; and
- Dates and times of service access.
Support communications
If you contact us, we may collect your name, email address, telephone number, message, attachments, support history, and other information you choose to provide.

How we use information
We may use information collected through MainDispatch to:
- Create, authenticate, and manage user accounts;
- Provide and operate MainDispatch features;
- Create and manage dispatches and shipment records;
- Connect authorized brokers, carriers, drivers, and other shipment participants;
- Display shipment progress and location updates;
- Enable pickup, inspection, transportation, and delivery workflows;
- Create, store, retrieve, and distribute digital Bills of Lading;
- Store photographs, signatures, condition reports, notes, and supporting shipment records;
- Synchronize information across authorized devices;
- Send service-related, security, account, or operational communications;
- Provide customer support and troubleshoot issues;
- Detect fraud, misuse, unauthorized access, and security incidents;
- Maintain, monitor, improve, and develop our products;
- Comply with applicable laws, regulations, legal processes, and contractual obligations; and
- Establish, exercise, or defend legal rights and claims.
We do not use personal information collected through MainDispatch for third-party behavioral advertising.

Location data
MainDispatch may collect precise or approximate location information from a driver’s mobile device when location features are enabled and the required device permission has been granted.
Depending on the operating system, permission settings, and workflow, location information may be collected while the application is visible, in the background, or during an active shipment.
We use location information to:
- Provide live shipment tracking;
- Display the current or recent shipment location;
- Help authorized parties understand shipment progress;
- Support pickup, transit, and delivery operations;
- Maintain operational shipment history;
- Improve location reliability and synchronization; and
- Investigate technical, safety, fraud, or support issues.
Location information is associated with the relevant shipment or tracking identifier and may be visible to the company that created or manages the dispatch and to other authorized shipment participants.
Controlling location access
You can manage location permission through your device settings. Disabling location access may prevent live tracking or other shipment features from working correctly.

Photos, signatures, and shipment documents
MainDispatch allows authorized users to capture, upload, store, process, and retrieve shipment-related media and documents.
This information may include:
- Exterior and interior vehicle photographs;
- Pickup and delivery inspection photographs;
- Photographs documenting existing or reported damage;
- VIN or vehicle-information photographs;
- Shipper, driver, receiver, or customer signatures;
- Printed names associated with signatures;
- Inspection and signature timestamps;
- Vehicle-condition notes;
- Digital Bills of Lading;
- Delivery receipts and shipment confirmations; and
- Related attachments or documents.
These records are used to document vehicle condition, confirm custody or delivery, generate transportation documents, support claims or disputes, and maintain an operational record of the shipment.
Users should only photograph or upload information that is relevant to the shipment and that they are authorized to collect and share.

Third-party services and providers
MainDispatch relies on third-party technology providers to operate parts of the service. Depending on the features used, these providers may process information on our behalf.
Categories of providers may include:
- Cloud hosting and database providers;
- File and document storage providers;
- Authentication providers;
- Real-time data and synchronization providers;
- Mapping and location-service providers;
- Application hosting and deployment providers;
- Error monitoring and diagnostic providers;
- Email and communications providers;
- Document-generation services; and
- Customer-support and security providers.
Our primary application infrastructure may include Google Firebase and related Google Cloud services for authentication, databases, file storage, application services, and technical operations.
Third-party services process information under their own terms, privacy notices, and contractual obligations. We encourage users to review applicable third-party privacy practices.
MainDispatch may also link to websites or services that we do not control. This Privacy Policy does not govern the practices of those independent third parties.

Data retention
We retain information for as long as reasonably necessary to provide the services, maintain shipment and business records, comply with legal or contractual obligations, resolve disputes, enforce agreements, prevent fraud, and protect MainDispatch and its users.
Retention periods may vary depending on the type of information and the reason it was collected. In determining retention periods, we may consider:
- The duration of the customer relationship;
- The status of the relevant account;
- The operational life of a shipment record;
- Transportation, insurance, accounting, tax, claims, or recordkeeping requirements;
- Pending disputes, claims, investigations, or litigation;
- Security and fraud-prevention needs; and
- Applicable legal obligations.
When information is no longer reasonably required, we may delete, anonymize, aggregate, or otherwise de-identify it, subject to technical and legal limitations.
Backup copies may remain for a limited period after information is removed from active systems.

Data security
We use administrative, technical, and organizational safeguards intended to protect information against unauthorized access, misuse, alteration, disclosure, or destruction.
Our safeguards may include:
- Account authentication and access controls;
- Role-based or organization-based permissions;
- Secure network communications;
- Cloud platform security controls;
- Logging and monitoring;
- Restricted administrative access;
- Software maintenance and security updates; and
- Backup and recovery procedures.
No system, network, transmission method, or storage technology can be guaranteed to be completely secure. Users should protect their login credentials, devices, tracking links, and shipment access codes and notify us promptly if they suspect unauthorized access.

Your choices and privacy rights
Depending on your location and applicable law, you may have the right to:
- Request access to personal information about you;
- Request correction of inaccurate information;
- Request deletion of certain information;
- Request a copy of certain information;
- Object to or restrict certain processing;
- Withdraw consent where processing depends on consent;
- Request information about categories of information collected or disclosed;
- Opt out of certain data uses where applicable; and
- Not receive discriminatory treatment for exercising a privacy right.

Please describe your request and identify the MainDispatch account, organization, shipment, or email address involved. We may need to verify your identity and authority before fulfilling a request.
If information is controlled by a broker, carrier, employer, or another MainDispatch customer, we may direct you to that organization or coordinate with it to process your request.
Device permissions
You can control permissions such as location, camera, and photo-library access through your mobile-device settings. Disabling a permission may limit application functionality.
Communications
You may opt out of nonessential marketing communications by using the unsubscribe method provided in the message or contacting us. You may continue to receive transactional, security, support, or legally required communications.

Account and data deletion
Users with a MainDispatch account may request deletion of their account and associated personal information through the account-deletion option made available in the application or by following the instructions on our account deletion page.
Deletion of an account does not necessarily result in the immediate deletion of every record. We may retain information when reasonably necessary for legal compliance, fraud prevention, security, accounting, transportation recordkeeping, insurance, claims, dispute resolution, or the protection of legal rights.
Shipment records may also contain information belonging to or controlled by another organization or shipment participant. In those situations, we may restrict, separate, de-identify, or retain the relevant record as required.
Drivers who use MainDispatch without creating a conventional account may request deletion of personal information by emailingprivacy@maindispatch.comand providing enough information for us to locate and verify the relevant record.

Children’s privacy
MainDispatch is a business and transportation operations service and is not directed to children under 13. We do not knowingly collect personal information directly from children under 13.
If you believe a child has provided personal information to MainDispatch, contact us atprivacy@maindispatch.comso we can review and address the situation.

International users
MainDispatch is operated from the United States. If you use our services from another country, your information may be transferred to, stored in, or processed in the United States or other locations where we or our service providers operate.
Data-protection laws in those jurisdictions may differ from the laws in your location. Where required, we use appropriate mechanisms intended to protect international data transfers.

Changes to this Privacy Policy
We may update this Privacy Policy periodically to reflect changes in our services, technology, business practices, legal requirements, or other circumstances.
When we update this policy, we will revise the “Last updated” date at the top of the page. If a change is material, we may provide additional notice through the application, by email, through the dashboard, or by another appropriate method.
